Newcastle Chauffeur Pricing Guide

This guide explains how pricing works for chauffeur services across Newcastle, Lake Macquarie, and the Hunter Region.

How Pricing Is Calculated
Every booking is priced based on:

  • Vehicle class
  • Distance and travel time
  • Pickup suburb and drop off location
  • Day and time of travel
  • Passenger and luggage requirements
  • Duration of vehicle commitment
The fare reflects the vehicle and chauffeur being committed to your booking.

The minimum fare within Newcastle starts from $56.32.
A higher minimum may apply in certain areas to account for vehicle positioning and return time, where applicable.
Vehicle Pricing Structure
Base pricing applies to Executive Sedan class.
Other vehicle types are priced relative to the base category due to size and operating cost.

  • Executive Sedan – Base rate
  • Executive SUV – 35% premium on point to point transfers. Hourly hire priced separately.
  • First Class Sedan – 50% premium on point to point transfers. Hourly hire priced separately.
  • Executive 7 Seat People Mover – 50% premium on point to point transfers. Hourly hire priced separately.
  • Executive 11 Seat Minibus (Sprinter) – 105% premium on point to point transfers. Hourly hire priced separately.
The fare displayed in the booking portal reflects the estimated price based on the details entered.
All submissions are reviewed prior to confirmation.
The booking is confirmed once a confirmation receipt is issued, at which point the fare is fixed.
Point to Point Transfers
A point to point transfer includes:

  • Private vehicle
  • Professional chauffeur
  • Direct movement between pickup and drop off
  • Standard boarding time allowance
The fare is fixed at booking, subject only to any applicable extras selected or incurred.

Hourly Hire/As Directed Bookings
Hourly hire places the vehicle and chauffeur at your disposal for the booked duration.
Minimum booking periods apply.

  • Executive Sedan – $110 per hour
  • Executive SUV – $125 per hour
  • Executive 7 Seat People Mover – $140 per hour
  • First Class Sedan – $180 per hour
  • Executive 11 Seat Minibus – $180 per hour
When you commit to a set number of hours, the vehicle remains reserved for that time.
If the booking concludes earlier than scheduled, the reserved duration remains payable.

Additional charges may apply depending on distance travelled, tolls, parking, out of area operation or positioning requirements.
For example, certain vehicle categories operating outside their base city may require extended minimum hours to account for positioning.

Full day and extended engagements are available on request.
Waiting Time
Complimentary waiting time is included to cover normal boarding and pickup conditions.
The allowance depends on the pickup type below.

  • Standard pickups (10 minutes) – homes, residential addresses, apartments, hotels, offices, medical suites, business parks, restaurants, private venues and general address collections
  • Major venues and special events (20 minutes) – stadiums, arenas, concerts, festivals, large conferences, formal functions and controlled traffic environments
  • Domestic airport arrivals (30 minutes) – calculated from flight touchdown
  • International airport arrivals (60 minutes) – calculated from flight touchdown
If waiting extends beyond the included allowance, it is charged per minute according to vehicle class.

  • Executive Sedan – $1.50 per minute
  • Executive SUV – $2.03 per minute
  • Executive 7 Seat People Mover – $2.25 per minute
  • Executive 11 Seat Minibus (Sprinter) – $3.08 per minute
  • First Class Sedan – $2.25 per minute
Booked Standby Time

Where you request the vehicle to remain on standby beyond normal boarding, this is treated as booked waiting and is priced either as pre-agreed waiting time or hourly hire, depending on the duration.
The vehicle remains committed for that period.

Unplanned Delays

If waiting is required due to late passengers, extended baggage delays, venue access restrictions or changes on the day, additional waiting is charged once the included allowance has been exceeded.
Where extended delay is likely, hourly hire may be applied in place of per minute charging.
Airport Pickup and Parking
Airport pick ups may include:

  • Kerbside pickup – Available at Newcastle Airport. No additional charge applies. This option relies on timely passenger exit and direct phone contact. It is generally suited to regular clients familiar with the process.
  • Meet and greet – Recommended for most bookings, particularly for new clients, international arrivals or larger luggage loads. No additional service fee applies beyond applicable airport parking and waiting charges.
  • Airport access and parking fees – Where incurred, these are included in the confirmed fare or itemised clearly.
Domestic and international arrivals include complimentary waiting time as outlined in the waiting policy.
Waiting beyond the included allowance is charged per minute by vehicle class.

Flight arrivals are monitored against scheduled landing times where flight details are provided.
If the passenger cannot be contacted after the included waiting period, the booking may be treated as completed.

International arrivals typically require additional walking time through customs and baggage collection, which is reflected in the longer included waiting period.
Tolls
Tolls are generally charged on a pass through basis and added to the booking at cost.
Charges reflect the actual tolls incurred based on the vehicle class used for the journey.

Pricing displayed in the online booking portal does not include tolls unless expressly stated.
If tolls are not shown as included or itemised in the quote, they will be added where incurred.

Some formal or long distance quotes may include estimated tolls itemised in advance.
Where tolls are included upfront, they are shown clearly in the fare breakdown.

Where multiple routes are available, the most appropriate route for traffic conditions and timing will be taken.
If you have a preferred route, please advise at booking or inform your driver at the commencement of the journey.
Time of Day Surcharges
Certain late night and early morning departures attract an additional fixed surcharge.
The surcharge is based on the scheduled pickup time.

  • 22:00 – 23:59 – $30
  • 00:00 – 00:59 – $50
  • 01:00 – 03:59 – $100
  • 04:00 – 04:59 – $50
  • 05:00 – 05:59 – $30
These surcharges reflect vehicle and chauffeur commitment during late night operating hours.
The applicable surcharge is applied based on the booked pickup time, not the time the booking was made.

If a booking is rescheduled into one of the above time windows, the relevant surcharge will apply.

Public Holiday and Peak Demand Pricing
Bookings scheduled on gazetted public holidays or during recognised peak demand periods are subject to adjusted pricing.
This reflects higher operating costs and reduced vehicle availability on those dates.

Peak demand periods may include long weekends, major travel days, school holiday peaks and sustained high volume travel across Newcastle.

Any applicable loading is applied to the base fare and displayed prior to confirmation.
Once a booking is confirmed, the fare remains fixed.

Public holiday and peak demand pricing is separate from special event premiums.
Special Event Premiums
Special event pricing may apply for major events including concerts, sporting fixtures, race days, New Year’s Eve, festivals and large scale public gatherings.
These events often involve restricted access, controlled traffic zones, extended holding time and limited vehicle circulation.

Where special event pricing applies, it is reflected in the quoted fare prior to confirmation.

For certain events, minimum booking policies may apply.
This may include a minimum hourly hire requirement, rather than standard point to point transfers.

Event specific conditions, minimum durations and any applicable premiums are disclosed before confirmation.
Once confirmed, the fare remains fixed for the agreed scope of work.
Out of Area Surcharge Policy
Bookings commencing significantly outside the core Newcastle operating area may attract an out of area adjustment.
This reflects vehicle positioning time required to service the booking.

In some cases, even where a pickup falls within the broader service area, the distance from the usual base of operations may require additional positioning time.
Where this applies, the fare will reflect the extended vehicle commitment.

Any out of area or positioning adjustment is applied prior to confirmation and shown in the quoted fare.
Once confirmed, the price remains fixed for the agreed scope of work.
Corporate Pricing
Corporate travel is priced on a booking by booking basis, reflecting vehicle class, timing, distance and duration.

Businesses with recurring or high volume travel requirements may request a corporate arrangement.
This may include agreed service terms, centralised billing and volume based pricing adjustments where applicable.

Corporate bookings remain pre booked and confirmed in advance.
All pricing is issued prior to confirmation and fixed once the booking is accepted.

Child Seats
Child seats are available on request at $25 per seat.
Requests must be made at the time of booking to ensure availability.

The seat type provided will reflect the age category specified at booking.
Availability depends on vehicle class and scheduling.
Credit Card Processing Fees
Card payments may attract a processing fee depending on card type.
If applicable, the fee is disclosed at checkout.
Pricing is otherwise charged exactly as quoted.

Card details are processed through secure payment systems.
Raw card data is not stored.

Confirmations and Payments
All bookings submitted through the portal are treated as booking requests until reviewed.
A booking is confirmed once a confirmation receipt has been issued.

The confirmed fare reflects the agreed vehicle, timing and scope of work.
Once confirmed, the price is fixed subject only to applicable extras incurred during the booking.

A valid payment method is required to secure the booking.
Payment may be processed prior to travel or on completion, depending on booking type.

Corporate account clients are invoiced in accordance with agreed terms.

Card payments are processed through secure systems.
Raw card details are not stored.
Instant Quotes
The online booking portal provides instant pricing based on the details entered at the time of enquiry.

Certain bookings may require adjustment based on vehicle availability, positioning requirements, event conditions or other operational considerations.

A fare becomes fixed once the booking has been reviewed and a confirmation receipt has been issued.
Cancellations and Changes
Cancellations are subject to notice periods based on the booking type and vehicle commitment.

  • Standard point to point bookings – Cancellation fees apply within 4 hours of the scheduled pickup time.
  • Hourly hire bookings – Cancellation fees apply within 24 hours of the service start time.
  • Daily hire bookings – Cancellation fees apply within 48 hours of the service start time.
  • Special event bookings – Extended notice periods apply.
  • No shows – Treated as a cancellation once the applicable waiting period has elapsed.
Late cancellations and no shows incur charges reflecting vehicle allocation and driver attendance.

Transparency
All pricing adjustments, surcharges and applicable fees are disclosed prior to confirmation.
The confirmed fare reflects the agreed vehicle, timing and scope of work.

If additional charges arise during the booking, such as waiting beyond the included allowance or tolls incurred, they are applied in accordance with the Price Guide and outlined clearly.

There are no retrospective price changes once a booking has been confirmed, outside of agreed variations or charges incurred during the service.
Passenger and Luggage Capacity
Passenger numbers and luggage must match the selected vehicle category.
If luggage exceeds the stated capacity, an upgraded vehicle may be required and pricing adjusted accordingly.
Additional Stops and Route Changes
Additional stops or route variations not included at booking may attract an adjustment.
Changes are assessed based on time and distance impact.
Vehicle Condition and Cleaning
Excessive cleaning or damage beyond normal use may incur a charge.
This includes spills, staining or interior damage.
Gratuities
Gratuities are not included unless specified in the confirmed fare.
Booking Amendments
Changes to pickup time, vehicle type or service scope may result in fare adjustment. An amendment fee may be levied at YPD discretion.
All amendments are confirmed prior to implementation.

All pricing is inclusive of GST unless otherwise stated.
